Our Commitment to Privacy

HandsOn Network ("HON") has created this privacy policy in order to demonstrate our firm commitment to protecting the privacy of personal identifying information about our users. Our commitment to you is that we will use our best efforts not to disclose information collected from you, other than as described in this policy. The following discloses in detail our information collection, utilization and dissemination practices for HandsOn Connect.

In short, our Privacy Policy is:

 

  • We will only use personal information you provide us according to the terms outlined in this document.
  • In order to participate in HandsOn Connect (the "Service"), you must provide a limited amount of information so that HandsOn Connect and community organizations that you would like to work with may contact you.
  • During registration, or through your Account Profile, you may choose to "opt out" of receiving communications from HON or your local Volunteer Center or "opt in" to receiving communications from third parties about volunteering and other, non-volunteering, opportunities or activities.
  • We WILL NOT provide your personal identifying information (e.g., name, contact information or volunteer information) to third parties who are not Authorized Users of the HandsOn Connect service (e.g., non-profit organizations and Volunteer Centers), unless you indicate otherwise.

 

WHAT INFORMATION DO WE COLLECT?

HandsOn Connect collects contact information, demographic information, volunteer interests and other personal identifying information ("Personal Data") from all Volunteer Centers, non-profit organizations, governmental agencies, private businesses, volunteers or visitors to http://www.HandsOnConnect.org (collectively referred to as "Authorized Users," and each is an "Authorized User"). All Authorized Users must agree to the applicable Terms of Use (the "Terms of Use") posted on the Site, or must otherwise have written permission from HandsOn Connect to use the Service.

In addition, HandsOn Connect collects certain information, which cannot be used to personally identify any user ("Non-Personal Data"). Non-Personal Data ordinarily includes aggregate, summary, or other anonymous data, and may include, by way of example, statistics regarding total registrations, total number of volunteers matched to opportunities, popularity of particular pages within the Site, or information regarding types of Internet browsers used by Authorized Users. We also collect Non-Personal Data about each Authorized User's IP address to help diagnose problems with our server, and to administer our web site, but such IP addresses are not associated with individual account profiles or registration information.

When using the Service, we may create "cookies" on your computer for purposes of facilitating and maintaining your current user session, and may collect Personal Data using those cookies in order to enable HandsOn Connect to identify you in connection with the Service and to track use of the Service for purposes consistent with this policy.

Any Authorized User providing Personal Data is certifying that he/she is over the age of 14. As such, we do not collect or maintain Personal Data from individuals we actually know are under 14 years of age, and no part of our Site or Service is designed to attract people under the age of 14. Protecting the privacy of children is very important to us. Thus, if we ever obtain knowledge that a user is under the age of 14, we will take steps to remove that user's Personal Data from our databases and to prevent the user from utilizing the Site and the Service.

HOW DO WE USE AND DISCLOSE COLLECTED INFORMATION?

HandsOn Connect uses the Personal Data of Authorized Users as needed to provide the Service, to recruit volunteers for community events or service opportunities, conduct searches for potential volunteers and to communicate with Authorized Users. We also use both Personal Data and Non-Personal Data when evaluating ways to improve the Site and the Service. As further described below, we may disclose collected information, including Personal Data, to certain third parties in connection with providing the Service or as required by law. We will not use or disclose collected information in ways substantially different from what is described in this policy, unless otherwise required by law.

HandsOn Connect also uses information collected through the Site and the Service to communicate promotional information to Authorized Users ("Promotional Information"). Promotional Information may include materials about volunteering, your local Volunteer Center and the HON, nonprofit organizations, government agencies or community businesses participating in the Service, and/or about our business partners and affiliates. HandsOn Connect will refrain from sending Promotional Information to Authorized Users who "opt out" of receiving such information. HandsOn Connect offers all Authorized Users the opportunity to recommend the Site and Service to others. If you provide any such recommendations, please note that we will identify you by name as having made the recommendation. Also, we may attempt to contact the individual and/or entity through e-mail(s) in order to invite them to visit the Site. We also provide these contacts with the opportunity to "opt-out" of receiving Promotional Information.

HandsOn Connect will respect your preferences, as you may indicate to us in your Account Profile (further described below), regarding whether it is permissible for us to make disclosures of Personal Data other than the disclosures described above. If you indicate in your Account Profile that we may make such disclosures, depending upon your selections, your local Volunteer Center and the HON, may contact you to provide information about volunteering (these communications should not include solicitations for funds or other support). Additionally, if you so select, the Service may contact you on behalf of business partners and sponsors of HandsOn Connect with information about goods or services they provide, which if purchased, also provide financial support to the Service.

YOUR CHOICES: OPTING-IN OR OPTING-OUT OF OPTIONAL COMMUNICATIONS AND DISCLOSURES

Because HandsOn Connect respects your privacy, we provide certain opportunities for you to indicate your preferences regarding how we use and/or disclose information collected about you from the Site and the Service. Each Authorized User will have an Account Profile, which among other things, allows Authorized Users to indicate their preference to "opt out" of receiving volunteer information from HON or your local Volunteer Center, or "opt in" to receiving communications from business partners and sponsors of HandsOn Connect. Each Authorized User may indicate such preferences during the initial registration process, or may visit the "My Profile" section of the Service to update their preferences.

The Site may contain links to other web sites, including those that may have their own posted policies regarding the collection and use of your personal information. HandsOn Connect is not responsible for the privacy practices or the content of such other web sites and we encourage our users to read the privacy statements of every web site before providing any personal information.

ACCESSING YOUR PERSONAL DATA

Each Authorized User selects a unique username and password that enables his, her or its access to the Service. We monitor the use of the usernames and passwords in order to collect and maintain records of all individual transactions conducted through the Service by Authorized Users, and those records are associated with each Authorized User's individual "Account Profile" within the Service.

Authorized Users may access their Account Profiles at any time to update Personal Data contained within that Account Profile. Subsequent uses or disclosures of information by HandsOn Connect will reflect those changes. Certain information is necessary in order for HandsOn Connect to provide the Service; therefore, if you delete such necessary information, you will not be able to use the Service.

Our Commitment to Data Security

The Site has security measures in place to protect against the loss, misuse and unauthorized alteration of Personal Data in HandsOn Connect's possession and control. We use our best efforts to ensure that all sensitive information provided by Authorized Users will be encrypted with industry standard encryption techniques. When you are viewing a secure page within the Site, such as our user registration form, an icon of a padlock will appear as "locked" at the bottom of web browsers such as Netscape Navigator and Microsoft Internet Explorer, but the same icon will appear as "un-locked" when the user is merely "surfing" nonsecure pages on the site. Furthermore, access to Personal Data is physically restricted within HandsOn Connect"s own offices and facilities. Therefore, HandsOn Connect"s employees are granted access to your Personal Data as necessary to perform specific jobs and tasks (e.g., performing customer service).

Please be aware that, although we endeavor to provide reasonable security for information in our possession and control, no security system can protect against all potential security breaches. Furthermore, Authorized Users are responsible for safeguarding the confidentiality of passwords to the Service. CHANGES TO THIS POLICY

If we change our privacy policy, we will post those changes on the Site so that users are always aware of what information we collect, how we use it, and under what circumstances, if any, we will disclose it. Any such posted changes will be effective upon posting. Your continued access to and/or use of the Site or Service constitutes your assent to, and acceptance of, this policy, including all posted changes.

Privacy Statement and Cookie Policy

Chicago Cares respects your privacy and recognizes the importance of protecting your personal information. We have prepared this Privacy Statement and Cookie Policy (the “Privacy Policy”) to help you understand important information about Chicago Cares’ privacy practices. This Privacy Policy applies to our website and any content delivered by Chicago Cares through our website, including, but not limited to, our blog, events, donation, and volunteer sign-up pages, and social media pages (the “Site”). This Privacy Policy describes the kinds of personal information from or about you that we may gather via the Site, how we use, share and protect such information, and how you can manage your preferences concerning our uses and sharing of such information. This Privacy Policy is not intended to cover Personal Information that may be collected offline.

Throughout this policy, “Chicago Cares,” “us,” “our,” or “we” refers to, collectively, Chicago Cares. “You” or “your” refers to any person using the Site.

This Privacy Policy forms part of our online Terms and Condition of Use; please read each document carefully. 1. What Personal Information Do We Collect? 

User Provided Information

Chicago Cares’ online content is free, and you are not required to have an account with us to access this content. We may collect, store, and transfer certain identifying information from or about you in connection with your use of or submissions to the Site.

We may collect the following personal information directly from you online when you register as a volunteer, register for events, donate to our organization, seek a job opportunity with us, attend training or other activities we offer, share your personal photographs or videos with us, follow us on social media, or like, comment, or share our content on social media. Please note that any personal information you are required to provide online to Chicago Cares, such as to register to volunteer or make a donation, will be combined with other information about you that is provided voluntarily and collected on the Site or via email, such as personal photographs or videos that you may share with us, and information collected in relation to your requesting information on our events, seeking a job or engaging in social media activity with us.

When you register to volunteer, you must provide us with the following required information:

  • first and last name;
  • email address;
  • mailing address;
  • mobile telephone number;
  • full date of birth;
  • login information (your email address/username and password).

During registration, you may also voluntarily provide the following information, which, if you provide it, will be combined with the required registration information:

  • home telephone number;
  • ethnicity;
  • gender;
  • disability status;
  • education level;
  • distance willing to travel; and,
  • information on how you heard about Chicago Cares.

When you make a donation, you must provide us with the following required information:

  • first and last name;
  • email address;
  • mailing address;
  • telephone number; and
  • credit or debit card information.

This information will be combined with other information related to your donation that you may voluntarily provide, including:

  • amount and frequency of donation; and
  • matching gift and other donation details, including name and contact information of individuals for whom a gift is in honor of or in memory of.

When you request information on our events or job opportunities, contact us, or follow us on social media, or like, comment, or share our content on social media, we also collect the following information:

  • first and last name;
  • email address;
  • telephone number;
  • content of communications with us, including in a cover letter and resume; and,;
  • • username and public information, including personal posts, photographs, and videos, made available through social media sites, including Facebook, Twitter, YouTube, Instagram, and/or LinkedIn.

Automatically Collected Information and Tracking

Usage Data

We also automatically collect tracking information from all visitors about how they use the Site. We use cookies and other technologies to help compile browser statistics, such as log file information (i.e., Internet protocol (IP) addresses, browser type, browser language, pages viewed, and the date and time of a site visit). We may combine this data with the aforementioned collected information, which may identify you.

We use cookies and other online tracking technologies to understand visitor activity on our Site, and to hold certain information about your visits to help improve your experience while using the Site.

Uses of Personal Information

We collect and use your information to operate the Site and manage the services you request. This includes processing event registrations, processing donations, and registering volunteers. It also includes alerting recipients on our email list of upcoming events, programs, and news so they may stay current on new developments related to Chicago Cares. We may periodically contact you with offers, surveys, and information about our services, your subscription, legal notices, or other important information.

We also work with third parties to analyze your use of the Site, including the time and duration of your use of the Site or other information about your interaction with our online content. This data will not identify you personally; it is used to help us improve the functionality of the Site.

Sharing of Personal Information

By registering on the Site, providing us your email address, or making a donation, you agree that we may provide to third parties your email address, and other information necessary to register you for Chicago Cares programs, facilitate payments and refunds, and conduct other activities related to your participation in such programs and activities of Chicago Cares. For example, we provide personal information about volunteers and donors to our parent organization, HandsOn Network, which is part of the nonprofit organization Points of Light. We also share information on job seekers with third parties that help us manage recruiting and workforce operations, as well as our business and marketing partners in furthering our mission as an organization or delivering the content, materials, and services available on or through the Site to you. We may also produce reports on Site traffic or usage patterns and share these reports with our business and marketing partners and others.

We will also share your information in the event that it is necessary for any of the following reasons:

  • to protect our rights or property or the safety of our employees or others;
  • to comply with any court order, legal process, or respond to any governmental or regulatory request;
  • to transfer information in the event of a merger, transfer of assets, or other organizational restructuring; and/or
  • to prevent or take other action regarding actual or suspected illegal or fraudulent activities or potential threats to the physical safety or well-being of any person.

We also use trusted third-party service providers or other third-party organizations helping to support our mission by collecting, storing, or sharing personal information on our behalf, such as to complete your donations and other payments you make to Chicago Cares.

3. Your Choices Regarding the Personal Information We Collect 

We will honor your choices concerning our collection, use, or sharing of personal information about you. For example, if you receive commercial email communications from us (e.g., newsletters and communications regarding our services) but do not wish to receive further information, you may “opt out” of receiving such by following the instructions contained in those email messages. If you registered for an account on our website, whether to sign up for an event or otherwise, at any time you may request that we deactivate your account. Your account will also have an Account Profile, which, among other things, allows users to indicate their preference to "opt out" of receiving volunteer information, or "opt in" to receiving communications from business partners and sponsors of Chicago Cares. Each User may indicate such preferences during the initial registration process or may visit the "My Profile" section of the Site to update their preferences. You may also choose what information you supply when creating an account, registering for events, or otherwise interacting with us through the Site. At any time, you may change your browser cookie settings, and you may also contact us to deactivate your account and stop receiving marketing or other communications.

3. Information Security 

Chicago Cares is committed to maintaining your confidence and trust, and we take reasonable security measures to protect your information, including the use of appropriate physical, technical, and administrative controls. However, no security system is impenetrable, and no transmission or electronic storage of information is guaranteed to be secure. We therefore urge you to always use caution when transmitting information over the Internet.

4.  Children's Information 

The Site is not intended for children under 13 years of age. We do not knowingly collect or store any personal information about children under 13 years of age through the Site, unless provided by a parent, guardian, or other adult seeking our services on behalf of a child.

5.  International Transfers 

We are based in Illinois in the United States. The information you submit to us and that we automatically collect as a result of your using the Site will be transferred to the United States, where the privacy and data protection rules may differ from those in your country. By using our Site, you consent to the international transfer to, and storage of, your personal information in the United States.

Our Site contains links to websites operated and maintained by third parties over which we have no control. Any personal information you provide to a third-party website, such as via a Chicago Cares Referral Opportunity, will be governed by the terms of each site’s privacy policy. We encourage you to investigate and ask questions of the operators of third party sites, including social media platforms, before disclosing any personal information to them. We have no responsibility or liability whatsoever for the content, actions, or policies of third party websites. The inclusion of third party websites on our Site in no way constitutes an endorsement of the content, actions or policies of the websites of others.

From time to time, we may change our privacy practices, and this Privacy Policy, because of changes in relevant and applicable legal or regulatory requirements, our business practices, or in our attempts to better serve your needs and those of our other customers.
